Moving long-distance from Florida: your timeline
Moving from Miami to another part of Florida — or out of state entirely — is a different project than a crosstown apartment move. The distance changes how the day is planned, how the truck is loaded, and how the job is priced. This guide from Oasis Express Logistics walks through a realistic three-to-four-week timeline, explains why long-distance quotes are built around your specific route and inventory instead of a single hourly rate, and shows you how to get an accurate number the first time.
Why long-distance pricing is quoted by route and inventory
For a move within Miami-Dade or Broward, an hourly package is the simplest way to price the work. Our local rates are $120/hr for 2 movers and a truck, $150/hr for 3 movers, and $190/hr for 4 movers, with a 3-hour minimum. When the drive is short, time is the main variable, so an hourly rate is fair and predictable.
Long-distance is different. Once the truck is headed to Orlando (roughly three and a half to four hours), Tampa, Jacksonville (the longest haul, often five to six hours), or Naples across Alligator Alley, the biggest cost drivers become the distance and the volume of what you are moving — not how quickly the crew works. A flat hourly number would either overcharge you for a slow drive or leave the total open-ended if traffic on I-95 or the Turnpike runs long. Instead, a route-and-inventory quote accounts for fuel, drive time, tolls, and the crew's return, plus how much truck space your belongings actually take, how many stairs or elevators are involved, and any specialty items.
A few fixed elements still apply so there are no surprises. Every move carries a flat $50 gas fee, and we take a $50 deposit that is applied toward your total — it is not an extra charge. Larger homes may need a second truck, which doubles the crew and the hourly rate. Heavy or specialty items such as a piano, safe, or gym equipment add from $120 each. We also offer a 5% discount for veterans and seniors 65 and older. Because the inventory drives the estimate, the more precisely you describe your home, the more accurate your quote will be.
Your 3 to 4 week timeline
Long-distance moves reward planning. Booking a crew for a specific out-of-town date is harder to rearrange at the last minute than a local job, so give yourself the full runway.
- Three to four weeks out: Confirm your moving date and get a written quote based on a real inventory. If you live in a high-rise or gated community, contact your building or HOA now to reserve the freight elevator and loading dock, and ask what paperwork the movers need. Many South Florida condos require a certificate of insurance (COI) before a crew is allowed on the property, and these can take days to process.
- Two weeks out: Start packing non-essentials and finish decluttering (more on that below). Order supplies, label boxes by room, and set aside anything you do not want on the truck. Notify utilities, and schedule shut-off at the old home and start-up at the new one.
- One week out: Confirm elevator and dock reservations, parking, and any building time windows. Pack a personal box of essentials — medications, chargers, documents, a change of clothes — that rides with you, not the truck. In hurricane season (June through November), keep an eye on the forecast and have a backup date in mind.
- Moving day: Because we are open 7 days a week, 8 AM to 7 PM, an early start helps you beat both the midday heat and rush-hour traffic leaving the metro area. Have the deposit-applied total, building contacts, and destination access details ready for the crew.
What to have ready for an accurate quote
An accurate long-distance quote comes from accurate details. Before you call, gather the following:
- Both addresses, including whether each is a house, apartment, or condo, and which floor.
- Access details: stairs, elevator or freight elevator, loading dock, long carries from the door to the truck, and any narrow driveways or gate codes.
- A room-by-room inventory — major furniture, appliances, and an honest box count. Photos of large or awkward pieces help.
- Specialty items such as a piano, safe, treadmill, or oversized fridge, since these add from $120 each.
- Building requirements: whether a COI is needed, reserved elevator windows, and HOA rules on truck size or hours.
- Your preferred date and a backup, plus whether you qualify for the veteran or senior discount.
Declutter before the truck loads
On a long-distance move, every item you keep occupies truck space that factors into your price, so decluttering is one of the few things that directly lowers your cost. Work through the home room by room in the weeks beforehand and sort into keep, donate, sell, and discard. Be especially honest about garage and closet items you have not touched since the last hurricane season — beach gear, half-empty paint cans, old electronics, and duplicate kitchenware add up fast.
South Florida heat and humidity also make a good case for downsizing before you load. Items stored in a hot garage or a non-climate-controlled unit can hold moisture and odors you do not want traveling for hours across the state. Sorting first means the crew loads a cleaner, lighter inventory, the truck packs more efficiently, and you unpack less on the other end. Aim to finish decluttering before packing starts, not during — deciding what stays while boxes are being sealed is how moving day runs late.
Quick FAQ
Is a long-distance move priced by the hour like a local one?
No. Local moves within the Miami area use our hourly packages, but long-distance moves are quoted by route and inventory — the distance driven plus how much you are actually moving. That is why a detailed item list gives you the most accurate number.
Do I really need a certificate of insurance for my condo?
Often, yes. Many high-rise and gated communities in South Florida require a COI on file before movers can use the building, and they may also limit elevator and dock hours. Check with your building or HOA three to four weeks out, since processing takes time.
When is the best time of day to start a summer move?
Early morning. Starting when we open at 8 AM helps you load before the peak afternoon heat and humidity and get on the road ahead of the worst metro traffic, which matters more when the crew has hours of driving ahead to Orlando, Tampa, or Jacksonville.
Every home and route is a little different, so the best next step is a quick, honest inventory of what you are bringing and where it is going. With that in hand, Oasis Express Logistics can put together a clear, route-based quote and help you build a timeline that fits your move date and your building's rules.
